Overall Objectives for the Job
Assist the A/Director-Operations in executing purchases as per the established policies and procedure.
Major Duties and responsibilities:
- Plan, organize, and implement procurement management system in accordance with the established Procurement Manual/Standard Operating Procedure.
- Ensure competent quality execution of all regular purchasing duties
- Maintain complete and updated purchasing records/data and pricing in the system.
- Execute and monitor all regular purchasing duties.
- Assist in managing and following up foreign purchase.
- Fulfill all the required customs formalities to clear goods from customs ware house
- Ensure that all the procured items are delivered as per the specifications and handle and monitor claims to vendors for defectives, shortages, and missing parts.
- Coordinate with suppliers to ensure on-time delivery.
- Ensure that the preparation of purchase orders in accordance with the established policies and procedures.
- Monitor and co-ordinate deliveries of items between suppliers to ensure that all items are delivered to site/store on time.
- Source, select and negotiate for the best purchase package in terms of quality, price, terms, deliveries and services with suppliers.
- Negotiate for best purchasing package (in terms of quality, price, term, delivery and service) with suppliers and sub-contractors assigned.
- Monitor and co-ordinate deliveries of items between suppliers (local and overseas).
- Ensure that official goods receiving voucher is prepared and issued for all items delivered by vendors.
- Submit procurement activity report at least on monthly basis.
- Perform other tasks as assigned by the immediate supervisor.
Job Requirements
Educational Background & Experience
- BA degree in Purchasing and Supplies Management with two years of related experience
- Diploma in Purchasing and Supplies Management with four years of related experience
