Job Description
- Length of Contract: Indefinite.
Main duties and responsibilities:
- Distribution of procurement documents to the supplier.
- Administrating of purchase requests
- Developing, maintaining, and verifying record management systems
- Dealing with inquiries and requests for information from both internal and external stakeholders
- Collection of quotations from suppliers and Prepare procurement contracts with vendors and maintain open lines of communications with those vendors
- Ensuring that records are easily accessible when needed for both internal and external Audits, including procurement documents, like tender, quotation, market assessment, and derogations, and Project related documents.
- Proper documentation & maintenance of procurement-related documents.
- Handling procurements related to the organization following the projects procurement plan
- Facilitate Tenders and contract approval on ELO
- Compare product deliveries with issued purchase orders and contact vendors when there are discrepancies
- Share the signed contract to logistics and user department for further delivery process
- Coordinate regular market surveys
- Managing Suppliers and Items database regularly
- Archive all procurement-related documentation
- Prepare evaluation for tenders and quotation
- Coordinate with purchase officers for evaluations of proforma’s, contract signature and payments to vendors on time.
- Facilitate field procurements
- Maintain strong working relationships with our vendors
- Coordinate derogation approval in collaboration with HQ
- tender preparation in collaboration with procurement specialist
- Handle share point updates
- Participate in a different meeting by presenting procurement department
- Do all procurement related works and others assigned by the organization
Job Requirements
- Bachelor Degree in Procurement & Contract Management, Supply Chain Management or other related social fields of studies
- minimum of 3 years of relevant work experience in the sector, from which 1 year on a similar position
- Experience in NGO is advantageous
- Good communication, time management, work under stress and deadlines, and coordination skills
- Experience in data encoding, data analysis and report writing
- Good teamwork, negotiation and influencing skills
- Good command of MS Package (Word, Excel, PowerPoint and Outlook)
- knowledge of spoken & written Amharic and English
- 3 strong references (will be crosschecked)
