Job Purpose
The executive secretary is responsible to support the senior managers and provide timely, high-quality assistance in all administrative and clerical capacities to top-level executives within the company.
Duties and Responsibilities:
- Manage and coordinate daily, weekly, and monthly calendars for senior managers
- Schedule necessary meetings.
- Prepare and manage correspondence, reports and documents.
- Implement and maintain office system.
- Arrange and confirm appointments.
- Liaise with internal and external contacts
- Generate regular reports from departments and update the manager
- Make and confirm all travel arrangements, if any
- Manage phone calls and emails with professionalism and proper documentations
- Respond in a timely manner to all requests
Job Requirements
Basic Qualification and Requirements
- Diploma or BA in Management, Business management or related fields.
- Work experience as an executive assistant, administrative assistant or similar role
- knowledge of office procedures and protocols
- Knowledge of computer systems, including experience with office management systems, ERPs, and Microsoft Offices
- Comfortable using all necessary office equipment, including printers and fax machines
- Excellent communication skills, written and verbal
- Commitment to confidentiality concerning sensitive company information
- Excellent organizational skills, a proactive mindset, and the ability to multitask and prioritize work
