Job Description

Accountabilities and MAIN WORK ACTIVITIES

  • Ensure minimum cash balance is available for the normal functioning of the office at the Program area level.
  • Avail all cash requests of the sub-office and pay without any significant delay to the intended purpose as per the Program officer's & Program coordinator's request.
  • Check all financial documents are reviewed and approved before payments are effected.
  • Replenish all documents on time so that the organization record shows up to date balance.
  • Deposit all collected cash within a week to the organization's account.
  • Follow and pay all sub officeā€™s cash commitment are paid on time e.g. telephone, electric, & water bills.
  • Keep records of all amounts paid, and received and reconcile cash balance with records every working day.
  • Report all cash shortages / overage and all unpaid vouchers for more than a reasonable time.
  • Support the Program Area Finance Officer in paying tax issues to the relevant tax authority.
  • Conduct monthly summary of pension, Income tax, and withholding tax and submitted to the finance officer to facilitate the payment
  • Prepare check payments to suppliers and staff on time.
  • Keep filling systems in which documents could be readily available, and easily traced and ensure that all documents fulfill the appropriate source documents
  • Support other staff on finance-related issues
  • Support the Program Area Finance Officer in Audit Facilitation.
  • Others as the need arise and instructed by the immediate supervisor

Job Requirements

Qualifications/ experience essential:

  • Diploma or Degree in Accounting, Finance, and Business management with at least 2 years or 1 year of relevant experience respectively.
  • NGO experience is a plus.
  • Safety issues in cash management.
  • The best way of handling transactions.
  • Bookkeeping and interpersonal skills.
  • Basic computer skills to process various document settlements like Excel.
  • Ample knowledge of currency denominations and counting.
  • Advanced computer skills, especially in Excel, Word, and the use of email.
  • S/he must be committed and willing to work under stress environment and should perform tasks independently.

Qualifications / experience desirable:

  • Safety issues in cash management.
  • Best way of handling transactions.
  • Bookkeeping and interpersonal skills.
  • Basic computer skills to process various document settlements like Excel.
  • Ample knowledge of currency denominations and counting.
  • Advanced computer skills, especially in Excel, Word, and use of the email
  • Ability to communicate at all levels, & in difficult circumstances,
  • Ability to work under pressure within a diverse team of people, and be dynamic, tenacious, and committed
  • Multi-cultural who respect and treat various people coming for her/his service.
  • Honesty.
  • Polite and courteous and consider his/herself as a team member.
  • Very good written & spoken English;
  • Very good communication skills with all levels of staff
  • Willing to travel to field sites.
  • High commitment to confidentiality
  • Gender sensitivity
