Purpose of work
- Provide support to the General Manager and other executives, maintain the organization's records, and Perform other administrative duties
Duties and Responsibilities
- Registering for information exchanges between the general manager and other employees of the organization, being a chain
- Supervise other clerks or administrative staff
- Collecting and organizing timely reports from department heads and other employees; Submit to the manager
- Establishing, operating, and controlling a grievance and complaint submission system for employees
- Organizing the organization's records by establishing a file management system and ensuring that they are updated on time
- Organize agendas and record appointments, meetings, conferences, etc., and assist in planning
- Prepare and distribute various forms and office memos
- Organizing the telephone address register of employees and external parties
- Attend meetings and take minutes
- Answering phones, controlling office supplies, and handling confidential documents
- Receiving letters of expenditure and income and other documents and organizing them in order according to the urgency
- Making travel arrangements
- Ensuring that information is kept in an organized and accessible manner by maintaining electronic and paper records
- Scheduling of internal and external events
Job Requirements
Qualification
- Degree in Secretarial Services or similar fields
- Organizational and time management skills
- Having experience in the position of Chief Secretary or similar position
- Having written and spoken skills
- Proficient in MS Office, email, and corporate software
- Having enough knowledge about reporting
- The character of honesty and confidentiality is developed by a culture
