Job Description

The Sales Executive’s primary role is to perform general office duties to support the Sales & Marketing department e.g. filing, sending emails, typing, faxing, copying, loading special or negotiated rates onto the property management system, and Maintaining Customer and company profiles.

Should be responsible for selling guest rooms, catering services, gym & spa facilities as directed by the General Manager of the hotel. Also provide high-level administrative support by conducting research, preparing statistical reports, collecting and processing sensitive data, resolving guest issues, and also perform clerical functions.

 TASKS, DUTIES AND RESPONSIBILITIES

  • Operational
  • Ensures professional and well-prepared sales calls.
  • Carefully plans Sales Calls into defined objectives.
  • Maintains detailed knowledge of hotel facilities, features, and services as well as competing hotels.
  • Conducts extensive competitor research and maintains excellent Product Knowledge of the hotel.
  • Ensures systematically and efficiently calls on allocated Accounts within location and reports findings and opportunities to the General Manager.
  • Pre-qualifies and targets prospects, utilizing hotel database and developing appropriate and effective sales solicitation strategies to increase the hotel’s market share.
  • Professionally conducts routine telemarketing activities to identify new business opportunities. Follows up on sales leads to identify prospects.
  • Meets and greets guests, clients, customers, and business partners upon arrival/departure.
  • Plans and makes Sales trips to the parties concerned which are our current and potential clientele to explore new business opportunities.
  • Entertains and conducts hotel inspections to relevant representatives/delegates whenever required.
  • Establishes strong contacts to source for information in regard to planned and upcoming functions/ events.
  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, banquet event orders, Letters).
  • Perform hotel site tours with potential clients.
  • Respond to complaints from customers and give after-sales support when requested.
  • Ensure the adequacy of sales-related equipment or material is available at all times.

 Customer Service

  • Provide excellent service to external customers, as well as internal customers in other departments.
  • Communicates all guest and internal customer complaints and inquiries to General Manager and follows through as directed.
  • Maintains positive guest and colleague interactions with good working relationships.

Financial

  • Maximizes employee productivity through the use of multi-skilling, multi-tasking, and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.
  • Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities
  • To maintain booking files with complete and supported records of all sales agreements, contracts, and quotes for the hotel as per Policies and Procedures.
  • To closely work together with the Food & Beverage team on the catering product, costing, and pricing.

 Marketing

  • Ensures a high level of exposure for the Hotel through direct sales solicitation, telephone contacts, and written communications.
  • Gather materials and assemble information packages (e.g. brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.).
  • Generate group and/or corporate leads through internet prospecting, networking, and telemarketing.

 Administration

  • To ensure that an accurate and efficient filing system (electronic & manual) is maintained at all times.
  • To ensure to regularly update all records of catering accounts.
  • To ensure that all meetings are well-planned, efficient, and results-oriented.
  • Generating reports, preparing proposals, collections details, and coordinating with clients & suppliers.
  • Load and Manage Rate Codes to the Hotel Software And link the negotiated rates to the correct company profiles.
  • Print Daily Sales reports for the General Manager.
  • File and retrieve documents and reference materials.
  • Other duties as assigned by the General Manager.
