Job Description

Job Summary of IT Officer

The IT Officer will be responsible for administration and maintenance of internal IT systems in our offices (Addis Ababa, Hawassa, potentially other project sites) and for assets management. The IT Officer will be required to perform regular maintenance (antivirus, updates, registry cleaning, etc.) and on-demand when unexpected urgent problems arise, whenever otherwise. Provide support on Cloud Solution based Enterprise solutions including  Microsoft Office365(Share Point, Teams, OneDrive Mail, Yammer, etc.).

 Some specific tasks are:

 CLIENT STATIONS

  • Installing, and reinstalling operating system and PIN-approved and recommended software
  • Installing software updates
  • Installing all necessary and recommended security updates
  • Setting up user profile according to PIN policies
  • Hardware troubleshooting and maintenance
  • basic reparation on site up to the level of experience
  • ensuring cost-effective advanced reparations at workshops, verifying results
  • Connecting client stations to network resources, such as shared disks, printers etc

 SERVERS

  • Monitoring servers’ performance and reporting any problems to IT HQ
  • Monitor the backup process of server data
  • Maintaining access to shared resources on server with strong emphasis on data security

 PROTECTION AGAINST MALICIOUS SOFTWARE (MALWARE)

  • Setting up and maintaining sustainable protection against malicious software (viruses, worms, trojan horses, spyware etc), namely:

Antivirus

  • Monitoring antivirus on client stations
  • Removing all viruses according to standard procedures
  • Patching security vulnerabilities by installing security updates namely for operating system, Microsoft Office, Adobe Acrobat, Internet Browsers etc
  • Ensure all endpoints are protected with the organization’s recognized anti-virus solution.

HELPDESK

  • Standard troubleshooting of clients’ hardware and software problems to the extent of experience (including printers, scanners, faxes etc.)
  • Consulting advanced helpdesk issues with HQ IT
  • Prioritizing helpdesk issues
  • Setting up emails and logins for PIN staff

 NETWORKING

  • Setting up and maintaining basic LAN and Wireless network with emphasis on security and order
  • Consulting advanced design and modifications of LAN and Wireless network with IT HQ
  • Communication with internet service providers
  • Respond to and resolve IT service outages by determining the probable cause, contacting the service providers where necessary and escalating if necessary

 COMMUNICATION

  • Designing, maintaining, troubleshooting and expanding communication means according to office needs including telephony, internet and other communication methods.
  • Consulting main communication issues with IT HQ

 INVENTORY MANAGEMENT

  • Ensuring all assets (all including vehicles) are registered.
  • Facilitating the liability of assets signature and making sure all staff sign liability of assets for assets given by PIN.
  • Work with logistics on inventory control and registration.
  • Comprehensive management of IT equipment (especially desktops and laptops)
  • Keeping track of software licenses and making sure there is no illegal software present

 PROCUREMENT

  • Ensuring timely and cost-effective deliveries of IT equipment and supplies according to PIN procurement guidelines and in accordance with the direct line manager and IT HQ.
  • Consulting purchases of advanced IT equipment with IT HQ and procurement assistant/officer
  • Assist logistics with any immediate assigned tasks

Policy, guidelines, and training

  • Provide Simple guidelines training to the staff during service time.
  • Provide computer skills training for all staff, including on the use of One Drive and share point.

Accountability and Safeguarding including Prevention of Sexual Exploitation, Abuse and Harassment (SEAH)

  • Carry out the duties in accordance with the PIN Code of Conduct and Key policies.
  • Participate in training and awareness raising (CoC and KP, Safeguarding…).
  • Ensure that his/her team members attend training and awareness sessions and carry out the duties in accordance with PIN Code of Conduct and Key policies.
  • Ensure that due diligence and/or capacity assessments of partners include an assessment of partners’ implementation of key safeguarding and risk policies/ procedure including the prevention of SEAH.
  • Create and maintain a fulfilling and protective environment.

Job Requirements

  • BSC Degree or Diploma  in Information technology (IT), Computer science and related field of studies
  • At least two years Experience for Degree holders and Five Years Experience for Diploma in related areas.
