Overall objectives for the Job
Assist technical officers and project consultants in project-related activities, manage office supplies, and perform secretarial tasks. Provide administrative, operational, and organizational assistance. The ability to be Compassion, creative, and thick skin is an asset. This job will require working beyond office hours and field visits.
Key tasks:
- Providing administrative support to ensure efficient operation of the office.
- Supports the technical officers and project consultants with a variety of tasks related to the project.
- Communicate via phone and email ensuring that all activities are completed accurately and delivered with high quality and in a timely manner.
- Organize and facilitate training as per the schedule.
- Produce and distribute correspondence memos, letters, documents, and forms.
- Order and distribute logistics and supplies.
- Book travel arrangements and submit a vehicle request to the transportation department and organize the overall travel arrangements for field staff.
- Submit and reconcile expense reports.
- Provide general support to assigned cluster coordinators.
- Provide information by answering questions and requests.
- Handle and coordinate the overall project activities.
- Receiving requests from the field staff and ensuring operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Working with the operation department to maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Contribute to team effort by accomplishing related results as needed.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Write letters and emails related to the project.
- Book conference/training halls, rooms, taxis, couriers, hotels, etc.
- Handle sensitive information in a confidential manner.
- Coordinate office procedures.
- Reply to email, telephone, or face-to-face inquiries.
- Resolve administrative problems by discussing them with the technical officers and other superiors as required.
- Coordinate repairs to field equipment.
- Photocopy and print out documents.
- Provide polite and professional communication.
- Implement clerical duties and administrative processes.
Job Requirements
- Proven ability to work with Microsoft Excel.
- Ability to communicate effectively, both orally and in writing
- Ability to establish and maintain effective and cooperative working relationships
- Ability to assume responsibility and exercise sound judgment in making decisions within the scope of authority of the position
- Ability to think and work effectively under pressure and accurately complete tasks within established times
- Ability to prioritize tasks and meet deadlines
- Ability to maintain confidentiality
- Shall be familiar with a variety of the field's concepts, practices, and procedures.
- Preferred to be familiar with data collection procedures, field deployment, preparing payment, cross-checking deliverables.
- knowledge of the company and the service
Educational requirements: BA in Administration, Management or related fields
Experience requirements: A minimum of 2 years related work experience
