Job Description

Scope

The Partnerships Assistant supports the Partnership Team, with conducting due diligence, capacity assessment on potential partners, at the pre-award stage.  The PA also works on drafting Partnership Agreements, and packaging.

The position is based in Addis Ababa but will require travel to the field, for monitoring projects implemented by partners.  The Assistant reports to the Partnership Manager.

The Partnerships Team sits in the Grants and Partnerships Unit of IRC Ethiopia.

Essential functions

Partnerships/Sub-Grant Processes:

  • Implement the IRC global PEER System, to have efficient and responsive processes, soundtracking, and sub-award management.
  • Conduct due diligence and capacity assessment of potential partners, prior to extending sub-awards.
  • Prepare Signing Memos, Pre-Award Letters, and Partnership Agreements, to timely extend to potential partners.
  • Support to maintain an up-to-date sub-award tracker
  • Contribute to the mapping of potential partners for emergency response, with a particular emphasis on local organizations.
  • Update IRC’s database that catalogs all past and potential future partners on a continual basis.
  • Coordinate the internal sub-award proposal review and approval process as needed.
  • Participate at Partner Project Opening, Review, and Closing Meetings; and assist with compiling/following up on meeting notes.
  • Work closely and coordinate with Programs, Operations, MEAL, and Finance Departments - for review of proposals, and project reports.
  • Facilitate capacity sharing with partner NGOs and local community organizations. Contribute to the development of training materials.

Partner Monitoring:

  • Participate in site monitoring of projects implemented by partners.
  • Support with a review of partners’ compliance to donors’ and IRC’s requirements, and their progress against objectives set in projects.
  • Liaise with partners for timely submission of accurate financial and activity reports.

Documentation and Reporting:

  • Support with maintaining comprehensive electronic files on projects implemented by partners.
  • Support data analysis of existing sub-grant portfolio and potential partner commitments.

Representation and Special Tasks:

  • Support the Partnerships Team, to ensure deadlines are met and that all products are of high quality.
  • Support with tracking review/approval process of agreements, with HQ relevant staff members.

Job Requirements

  • Excellent Amharic and English writing and speaking skills.
  • Bachelor’s Degree in Management, Business Administration, or related field, from a recognized university; and/or Diploma in a related field of study, with two years of relevant experience.
  • Computer literate (MS Word, Excel, PPT).
  • Good communication and interpersonal skills.

Personal specifications:

  • Able to work under pressure, long work hours, and a high workload.
  • Self-motivated, highly responsible, and punctual.
  • Interested in development/humanitarian work.
