Job Description
Major Responsibilities:
- Participate and collaborate with the Project manager and Finance manager in the preparation of procurement planning and in consolidation and approval of the annual procurement plan. Plan, organize, and implement all the local procurement activities of the grant project to ensure competitive buying and Sourcing.
- Assist the Finance manager and project manager in the placement of contracts and services through the prequalification process, frame agreement, and other appropriate methods stated in the WVE Procurement manual
- Assist the Finance Manager and staff in reviewing PRs to ensure PRs are filled according to the PR filling guide to ensure clear specifications are attached, appropriate signatories reviewed & signed, etc.
- Collect price quotations from short-listed, prequalified suppliers and other methods as per the WVE procurement manual and submit them to the procurement committee. Prepare price analysis and submit for procurement committee deliberation and recommendation.
- Prepare and submit purchase orders to project manager in collaboration with Finance manager as per the procurement committee deliberation and recommendation minutes and ensure collection of items per the approved specification /delivery of items with the specified time and quality
- Manage receiving, proper storage, issuing, and timely delivery of materials and goods to/from the warehouse and facilitate regular inventory taking in collaboration with the finance manager
- Provide well scheduled, safe, reliable, and cost-effective support service management in the project area and ensure performance tracking information system;
- Ensure timely submission of standardized annual and periodic reports on all the assignments related to support services management to the Finance Manager.
- Participate in all planning for change/improvement sessions related to support service policies and procedures and leadership team meetings as required to communicate and implement changes accordingly
Job Requirements
Required Education, training, license, registration, and certification
- BA in Procurement and Supplies Management, Business Administration, related fieldÂ
Required Professional Experience
- 3 Years Â
- Working knowledge of NGO operations and practices is an added advantage
Preferred Knowledge and Qualifications
- Excellent computer skills in Excel & Word
- Demonstrated ability in support services supervision
- Working knowledge of NGO operations and practices is an added advantage.
- Good planning and organizational skills
- Tact and diplomacy in dealing with staff-related to work environment needs
- Ability to maintain effective working relationships with all levels of staff and the public.
Working Environment / Conditions:
- Field-Based with 30% travel
