Job Description
As the event coordinator, responsible for every aspect of event planning. You should be well-organized and possess a sound knowledge of vendor management, selecting venues, determining the cost, arranging event services, excellent communication and attention to detail skills are vital in this role.
Duties and Responsibilities
- Plan and organize events in accordance with financial and time restraints
- Manage all aspects of an event from pre-planning, determining resource needs and on-site coordination, to post event follow up.
- Developing post-event reports on the effectiveness of each event.
- Order supplies needed for events and ensure items arrive in a timely fashion
- Assist in site and vendor selection and negotiating the best possible rates and terms
- Develop effective and collaborative relationships with internal and external stakeholders Develop partnership plans and create strategies benefiting all parties involved.
- Supervise staff at events, assign duties, and provide general direction
- Conduct post-event data and strategic SWOT analysis to inform future events
- Plan and execute pre-event marketing.
- Perform research in order to gain deep understanding of different requirements and details of each event
- Handle, coordinate and oversee all event operations
- Track the overall event expenses regularly
- Carefully supervise event preparation activities
- Offer solutions to resolve problems in a timely manner
- Understanding and identifying the requirements for each event
- Researching vendors such as caterers, decorators, and musicians, and selecting the best combination of quality and cost
- Overseeing issues that may come up at events and acting quickly to resolve problems
- Analyzing and evaluating an eventâs success and submitting reports
- Interacting and negotiating with vendors in order to achieve the most favorable terms
- Hiring personnel that will help to organize and run events smoothly
- Planning events while paying particular attention to time and budget
- Publicizing and marketing hotel event properties or spaces to get them booked
- Running final tests on the day of the event to ensure that everything meets standards
- Interacting and keeping healthy communication and interactions with clients and vendors
- Working with clients to guide them through event details and serving as their personal coordinator throughout the entire planning process and the event
Job Requirements
Qualification
- Bachelorâs degree in Marketing or Business management is preferred
- At least 2 yearsâ experience as an event coordinator.
- Well-organized with excellent multi-tasking abilities.
- Strong communication and interpersonal skills
- Experience in hosting and planning different scales and type of events
- Outstanding vendor management skills.
